The CBSE has instructed all schools to ensure that students’ names, dates of birth, and other personal details are correct. The Board has stressed the need for accurate student information on the marksheets issued after Classes 10 and 12.
Schools and parents get several opportunities to check student records from Class 9 to Class 12. They can also correct errors at the appropriate stages. CBSE requires schools to check student details carefully at every stage, from registration and submission of the List of Candidates (LOC) to the issue of examination admit cards.
According to CBSE, schools must first maintain correct demographic details in their own records. These records include admission forms, scholar registers, and admission and withdrawal registers. Schools must also record the correct details on the Transfer Certificate issued to students.
During Class 9 registration, schools and parents must verify and certify the student’s details. After registration, CBSE provides a correction window to allow schools to correct errors in the uploaded information.
Verification of Admit Cards Before the Examination
CBSE has instructed schools to download registration cards and give them to students for verification. Before submitting the Class 10 LOC, schools must check the complete data again and obtain confirmation from parents.
CBSE also provides a correction window after LOC submission. Schools can use this window to make necessary corrections.
Before the examinations, students, parents, and school principals must check the details mentioned on the admit cards. They must confirm that all information is correct. The concerned parties must also provide an undertaking confirming the accuracy of the details.
Schools can also send requests to CBSE to correct demographic details before the declaration of results.
About 20 Opportunities from Classes 9 to 12
CBSE said that schools repeat this verification and correction process in Classes 11 and 12.
As a result, students and schools get around 20 opportunities from Classes 9 to 12 to check their demographic details.
Despite these opportunities, CBSE continues to receive many requests to correct names, dates of birth, and other personal details after the results are declared. The Board said schools often submit incomplete applications in such cases.
CBSE Takes Strict Action on Incomplete Documents
CBSE has found several problems in correction requests. In some cases, schools do not provide the required records. They may also fail to provide certified documents from a student’s previous school.
In some cases, the submitted documents are unclear or contain excessive overwriting or alterations.
CBSE also said that some schools do not respond on time when the Board asks for additional documents. This can delay the processing of correction requests.
Schools Must Maintain 100% Accurate Records
CBSE has instructed all schools to maintain 100% accurate demographic details of students in their records.
Schools must strictly follow CBSE guidelines during registration and the submission of the List of Candidates (LOC). They must also obtain confirmation from parents about the accuracy of the information.
If a school submits a request to CBSE to correct a student’s details, it must provide certified records from all previous schools, wherever applicable.
